Version dated 6 September 2026. This Policy forms part of the Terms of Service and uses the terms defined there.
1.1. This Policy explains how you pay Watbot, LLC for the services offered at https://watbot.org/de/: subscription plans, the AI Balance, the Knowledge Base and the Online Schools module, and how refunds and disputed payments are handled.
1.2. It does not cover payments made by Students to an online school. The seller of those courses is the owner of the school, payment is taken through a payment service that the owner connects independently and under their own merchant details, and the money reaches the owner without passing through us. The terms of purchase, of access and of refunds are set by that school's own documents. Any question about a course payment, its content or a refund goes to the school owner, using the contact details shown in the Student Portal. Section 10 of the Terms of Service describes how responsibility is divided.
2.1. Current prices, plans and the composition of every paid service are published on the website and in your account. The price shown at the moment of purchase is the price you pay.
2.2. On the international website prices are quoted in US dollars or euros. The currency of your account is set when you first top it up; if your card is issued in another currency, your bank converts the amount at its own rate and may add its own fee.
2.3. Prices are exclusive of taxes unless stated otherwise at checkout. You are responsible for any value added tax, goods and services tax, sales tax or similar charge that applies to your purchase under your local law, and for any withholding your law imposes. Where we are required to collect a tax, it is shown and added before you confirm the payment.
2.4. If you buy as a business in the European Union and hold a valid VAT identification number, enter it in your account before paying so that the reverse charge can be applied where it is available. Without a valid number we treat the purchase as a consumer purchase.
3.1. Our services are prepaid. You top up the balance of your account, and every paid service is charged against that balance: the subscription plan, the AI Balance, the Knowledge Base and the Online School plan.
3.2. The AI Balance is topped up from your account balance at a one-to-one ratio and can only be spent on the AI features. Requests to Models are charged by the number of Tokens in the request and the response at the rate in force for that Model at the time of the request; paid tools are charged per call. The charge is applied after the request completes, and a line-by-line breakdown is available in the "Logs" section of your account.
3.3. The balance cannot go negative. When it is empty, the AI features stop working and paid services are not renewed.
3.4. Money on the balance is a prepayment for our services. It does not earn interest and is not a deposit or an electronic money account.
4.1. The payment methods available to you are shown in your account and depend on your country and the currency of your balance. They normally include:

To pay by card, confirm the order in your account: a secure window with the payment service's page opens, where you enter the card number, its expiry date, the security code (CVV2 for Visa, CVC2 for Mastercard) and an e-mail address for the receipt. All of those details are on the card itself; the security code is the three digits on the back.
4.3. Payments are confirmed with the 3-D Secure protocol. If your bank supports it, you are redirected to the bank to confirm the payment, usually with a code sent by SMS or approved in the bank's app. The rules for that confirmation are set by the bank that issued your card, so ask them if you have questions about it.
4.4. A payment by bank transfer is credited to your balance once the funds arrive, which usually takes one to three business days depending on the banks involved.
5.1. We never see or store your card details. The card number, its expiry date and the security code are entered on the payment service's own page, transmitted over an encrypted connection and processed on its side. Our systems receive only the result of the payment, its amount and a transaction identifier.
5.2. The payment service processes card data in accordance with the PCI DSS security standard. Information reaches the payment gateway over an SSL/TLS-encrypted connection and travels onwards over closed banking networks. The service does not disclose your card data to us or to any other third party.
5.3. Card transactions are carried out in accordance with the rules of Visa, Mastercard and the other payment systems involved.
5.4. If a payment you did not authorise appears on your statement, contact your bank first — only the issuer can block a card and start a chargeback — and then write to us at support@watbot.kz so that we can investigate on our side.
6.1. If a payment fails or is cancelled, check that the card details were entered correctly, that the card has not expired, that there are enough funds, that online payments are enabled for the card and that the daily limit for online payments has not been reached.
6.2. Your issuing bank knows the exact reason for a decline; we do not receive it. Contact the bank whose name is on the card, and write to support@watbot.kz if the problem persists.
6.3. If money has left your account but the balance has not been credited within one hour, send us the date, the amount and the transaction identifier and we will trace the payment with the payment service.
7.1. Subscription plans and paid services renew automatically for the same period, so that your bots do not stop working. The renewal is charged against your account balance at the price in force on the renewal date.
7.2. Before a renewal we send a reminder to the e-mail address in your account, normally seven days in advance, stating what will be renewed, for how long and at what price.
7.3. You can turn automatic renewal off at any time in your account, in a few clicks and without contacting us. The service then keeps working until the end of the period you have already paid for, and is not renewed after that.
7.4. If the balance is not enough on the renewal date, the renewal does not take place: the plan is suspended or downgraded, the AI features stop and the paid services affected are switched off. We do not charge a card automatically to cover a shortfall.
7.5. Where the law of your state or country requires additional disclosures or an easier cancellation route for automatically renewing subscriptions, those requirements apply and we honour them.
8.1. Consumers in the EEA and the United Kingdom have a statutory right to withdraw from the contract within 14 days without giving a reason. Section 12 of the Terms of Service explains how to exercise it and what happens to services already supplied. Nothing in this Policy limits that right.
8.2. Everyone else may ask for a refund of prepaid amounts for services that have not yet been supplied. Write to support@watbot.kz from the e-mail address registered in your account, stating the amount, the service and the details for the refund.
8.3. We refund what has not been used. The following are treated as supplied and are not refundable: AI requests already made to Models and to paid tools; the current paid period of a Knowledge Base that has been indexing your materials; and the current paid period of a plan that you have been using. The unspent remainder of the AI Balance and the unused part of a prepaid period are refundable.
8.4. We review a refund request within 14 calendar days and pay the amount due within 14 calendar days of approving it, to the same payment method you used, unless that is impossible and you agree to another. Refunds of cryptocurrency payments are made in the same cryptocurrency at the rate of the day the refund is approved; the difference in rates is not compensated.
8.5. Bank and payment service fees for the return of funds are borne by us, except where you ask for a method that is more expensive than the one you paid with.
8.6. We may refuse a refund where the account has been terminated for a material breach of the Terms of Service, or where the request is an attempt to obtain a service without paying for it. We explain the reason and you may contest the decision as described in Section 22 of the Terms of Service.
8.7. Where we discontinue a paid feature you are actively using, or terminate the contract ourselves, we refund the unused prepaid amount without any request from you, as described in the Terms of Service.
9.1. If you disagree with a charge, write to us first. Most disputes turn out to be a misread invoice or a renewal that was expected to be off, and we resolve them within a few days.
9.2. You keep your right to dispute a card payment with your bank. Please tell us at the same time: a chargeback opened without notice takes weeks, and we can often refund faster.
9.3. While a chargeback is open we may suspend the paid services covered by the disputed payment. If the chargeback is decided in your favour, the corresponding amount is removed from your balance.
10.1. A receipt for every payment is sent to the e-mail address in your account and is available in the billing section of the account.
10.2. Business customers can generate an invoice in the account before paying by bank transfer and download the settlement documents afterwards. Enter your company details in the account first: we issue documents from the details on file at the moment of payment.
10.3. If a document contains an error, write to support@watbot.kz and we will reissue it.
